But not every videographer approaches an event the same way. Before you book, these are the questions we think every organizer in the Niagara Region should ask.
What Is the Video Actually For?
A good videographer asks about your goals before your date. Are you trying to sell sponsorships for next year, recruit volunteers, thank donors or grow attendance? The answer changes what gets filmed, who gets interviewed and how the final edit is built. If a videographer only asks about the schedule, you will likely get a nice-looking video that does not do much.
What Will I Receive, and When?
Get specific about deliverables. Will you receive a highlight film, full-length session recordings, vertical clips for social media, photography or a livestream? Ask about turnaround times too. Recap content is most valuable in the days right after an event, while attendees, sponsors and partners are still talking about it.
Can You Show Me Work From Similar Events?
Ask to see work from events like yours in size and style, not just a highlight reel. A conference, a sports tournament and a gala each call for different skills: capturing speakers cleanly, following fast action, or catching emotional moments without getting in the way. Relevant examples tell you far more than a polished montage.
Who Will Be On Site, and What Do You Need From Us?
Find out how many crew members are coming, what equipment they will bring and what they need from your team, whether that is power, a schedule, a shot list, a point of contact or access to the sound system. Clear expectations on both sides prevent day-of surprises and let your team focus on running the event.
Who Owns the Footage, and How Can We Use It?
Clarify usage rights up front. Can you use the video on social media, in ads, in sponsor reports and in next year's promotions? Will you receive the raw footage? Knowing this in advance protects your investment and lets you plan how the content will work for you all year.
